zivik Funding procedure - During project implementation

If a project is approved for funding, a funding agreement - based on the project application and subject to private law - will be concluded between ifa, as grant provider, and the applicant, as grant recipient.

Implementing projects in conflict regions

  • The underlying conditions affecting projects in regions of conflict can change rapidly and thereby influence the extent to which the goals of some projects can be realised.
  • In some cases, there are unintended effects on a project so that funding objectives cannot be achieved or can be achieved only in part. In such cases, zivik must be informed promptly, in writing, so that funding can be reassessed and, if applicable, returned and used for other projects.
  • If funding is to be redirected within the framework of a specific project, an application for the redirection of funds must be submitted prior to any such change. The application must include an adjusted financial plan. Retroactive approvals of such changes are not permitted. If necessary, project funds must be repaid.
  • If it becomes apparent in the course of a project that expenditures on individual budget items will deviate by more than 20% from the approved financial plan, or that project changes are necessary, an amendment to the original application must be submitted immediately. This amended application must explain the changes and include a correspondingly adjusted financial plan.
  • The disbursement of funds is done in partial requests for funding (see Appendix 9 of the funding agreement); the requested disbursement of funds is limited to cover the requirement for the next six weeks only. For projects lasting longer than six weeks, the request for the second and every following disbursement must be submitted with the necessary information for evaluating the need for funds including: the overview of all utilised funds since beginning of the project (financial interim report) and a narrative interim report of the project, see Guidelines for Compiling the Interim Report (DOCX).

Project Evaluation

Systematic assessment of the change of conduct of key actors and the overall project context is in the centre of project implementation. Thus allowing to draw conclusions for further planning. There are numerous methods on how to assess the implementations and accomplishments of projects. We would like to highlight the DAC Evaluation Quality Standards (PDF)

Reference to Funding

All organisations that receive funding must make adequate public reference to this financial support, e.g. "This project is funded by ifa (Institut für Auslandsbeziehungen) with resources provided by the German Federal Foreign Office". The corresponding logos are here at your disposal. Should you realise that these formats are not appropriate to your requirements, please feel free to contact us at any time.
